1. Data controller

FloorNote is the data controller. Contact: hello@floornote.app

2. Data we collect

  • Account: name, email, business name and contact details you provide.
  • Business data: customers, jobs, estimates and other content you create (you own this data).
  • Payment: processed by Stripe. We do not store card numbers; Stripe handles payment data in line with their privacy policy.
  • OAuth (Google/Microsoft): we receive your name and email to create and manage your account.
  • Email (Gmail/Outlook): when you connect an inbox, we access messages to display and send email; we do not store email content long-term beyond what is needed to operate the feature.
  • Usage: basic analytics to run and improve the service.

3. Legal basis (GDPR)

We process your data to perform our contract with you (providing the service), and where relevant for our legitimate interests (security, product improvement). Where we rely on consent, we will ask for it clearly.

4. Data storage

Data is stored using Supabase with EU-based servers where possible. Hosting may involve Vercel and other providers with appropriate safeguards.

5. Third parties

We use the following to operate the service:

  • Stripe – payments
  • Google – OAuth sign-in and optional Gmail
  • Microsoft – OAuth sign-in and optional Outlook
  • Xero – optional accounting integration
  • Vercel – hosting

Each has their own privacy policy; we only share data necessary to provide the service.

6. Data retention

We keep your data while your account is active. When you delete your account (Settings → Data & Privacy), we delete your data in line with our data deletion process.

7. Your rights (GDPR)

You have the right to:

  • Access – download your data (Settings → Data & Privacy → Download My Data)
  • Deletion – delete your account and data (Settings → Data & Privacy → Delete account)
  • Portability – receive your data in a portable format (CSV download)
  • Rectification – update your details in Settings
